1. Scope

This policy explains how Panoverse Inc. d/b/a Kolect AI ("Kolect", "we", "us") handles personal information when you use Kolect Creator Search (app.kolect.ai, the "Service").

What our Chrome extension, Kolect Creator Helper, reads and sends is described in the extension privacy notice. The kolect.ai website and other Kolect products have their own privacy policies.

2. Information we collect

  • Account information: your sign-up email. If you sign in with Google, also the name and profile photo Google provides. Your password is stored, encrypted, by our sign-in provider Clerk; we never see it.
  • Content you provide: search descriptions and filters, creator lists you import, saved creators and collections, and the marks you put on creators. When you import a list, the file is read in your browser and only the profile links and handles found in it are uploaded (for creators not yet in our library, together with the text of the cell they were in), never the file itself.
  • Credit and payment records: your plan, subscription status, payment amounts and dates, the credits you receive and use, and records of bank transfer or WeChat top-ups. Online payments are handled by Stripe; we never receive or store your full card number.
  • Browser ID: we place a random ID in your browser (a cookie that lasts 30 days) to count how many browsers open the Service; when you're signed out it also limits free searches, and we keep a cryptographic hash of your IP address, never the address itself.
  • Usage and access records: when you search, unlock emails, check followers or download search history, and which pages of the Service you open, which site or ad link brought you here (the utm parameters in the address) and whether you're on a phone or a computer; once you're signed in, these page records are linked to your account. These records hold no IP address. Our hosting provider also logs requests (including IP address, browser type and time) for security and troubleshooting.
  • Earlier versions: if you used a previous version of Kolect, we moved your account, your workspace and that workspace's search history into the Service, matched by your previous account ID or verified email. All members of the original workspace can view and download that history.
  • When you contact us: through the support chat on the site, by email or WeChat, the contact details you leave (email, WeChat ID or phone number), the topic you choose and what you send us.

3. Information about creators

The creator information in the Service comes from public creator profiles on TikTok, Instagram and YouTube, such as handles, display names, follower counts, post statistics and public contact emails. Some fields, such as audience breakdown, category and account type, are AI estimates.

A creator's email is shown only to users who obtained it through a search or an unlock (for search history moved over from earlier versions, to members of the original workspace). Apart from that moved-over history, the Service's database doesn't store creator emails, only a record of who unlocked which creator and when.

If you are a creator and want your information corrected or removed, or don't want your contact email to appear in the Service, email hello@kolect.ai with your platform and handle. We'll verify the request and act on it promptly.

4. How we use information

  • To provide the Service: sign-in, search, saving creators, unlocking emails, follower checks, and charging and refunding credits.
  • To process payments, subscriptions and invoices.
  • To send service emails, such as verification codes, payment receipts and annual renewal reminders.
  • To prevent abuse, such as enforcing free limits and spotting unusual activity.
  • To improve the Service: our staff review search descriptions (linked to your account email) and usage, for example searches that found nothing, to make search better.
  • To count visits and where they come from: how many browsers open the Service each day and which sites or ad links bring them, to judge our promotion. We only look at totals.
  • To answer your questions and handle requests such as refunds. The contact details you leave in the support chat are used only to reply to you.
  • To meet legal obligations, such as keeping tax and financial records.

We don't sell your personal information, use it for advertising, or use third-party analytics or ad trackers.

5. Who processes information for us

We share information only with providers that help us run the Service, and they may use it only on our instructions:

  • Clerk: sign-in and account security.
  • Stripe: payments, subscriptions and invoices.
  • Supabase: database.
  • Vercel: hosting.
  • Kolect creator data service: searching and looking up creators. It receives search descriptions, filters, profile links and handles, never your email, name or payment details.
  • WeCom (Tencent): when you choose to contact us or top up through WeChat.
  • Feishu (Lark): our staff receive and answer support chat messages in Feishu. What you send in the support chat is copied to our support group there; the contact details you leave are not.
  • Resend: emailing you when we reply in the support chat while you're offline.

AI assistants you connect: if you create a key on the Use in Claude / Codex page and connect the Service to an assistant such as Claude, Codex, WorkBuddy or OpenClaw, we send the results of the calls it makes on your instructions, including creator data and emails you obtain, to that assistant, and its provider's policies then apply. We store only a hash of each key, and you can delete a key on that page at any time.

We may disclose information when the law requires it, or to protect the rights and safety of our users, the public or Kolect. If Kolect is involved in a merger, acquisition or sale of assets, information may be transferred, and the new owner must keep protecting it under this policy.

6. Cookies and browser storage

We use only the Service's own cookies. There are no advertising cookies and no third-party analytics:

  • Your sign-in (set by Clerk).
  • Your language choice (kolect-lang).
  • A browser ID (kolect-guest, 30 days): counts visits, and when you're signed out also limits free searches and keeps your support chat.

Some display preferences and caches, such as whether the sidebar is collapsed, which CSV columns you want, the marks you put on creators and what you just typed into search, are kept in your browser.

When you pay, you go to Stripe's checkout page, where Stripe uses its own cookies to prevent fraud. When you play a creator's post, the page loads the TikTok, Instagram or YouTube player, and that platform may set its own cookies. These cookies are governed by each company's own privacy policy.

7. Where data is stored

The Service stores and processes data in the United States. If you use it from outside the United States, your information is transferred there. We protect it with safeguards such as data processing agreements with our providers.

8. How long we keep information

  • While your account exists, we keep your account information and your content in the Service.
  • After you ask us to delete your account, we delete it within 30 days. Copies in backups are kept for up to 90 more days and then removed automatically.
  • Payment and invoice records are kept as tax and financial laws require.
  • The browser ID expires after 30 days. Searches made while signed out (including the IP hash) are kept like other search records, to prevent abuse and improve search.
  • Page-view records are only used for totals (how many browsers a day, and where from).
  • Support chat messages are kept together with the contact details you leave, so we can follow up on your question. You can ask us to delete them at any time.

9. Your rights

You can:

  • see the information we hold about you, or ask for a copy;
  • correct information that is wrong;
  • delete your account and data;
  • object to, or ask us to limit, certain uses of your information.

You can delete saved creators and collections yourself in the app. For anything else, email hello@kolect.ai from your account email and we'll reply within 30 days. To protect your account, we may need to verify your identity first.

If you are in the EEA or the UK: we process your information to perform our contract with you (providing the Service), for our legitimate interests (preventing abuse and improving the Service), to meet legal obligations (keeping financial records), and with your consent where it is required. You may also complain to your local data protection authority.

If you are a California resident: we don't sell your personal information or "share" it for cross-context behavioral advertising. You may exercise your rights under California law, including to know, delete and correct, and we won't treat you differently for doing so.

10. Security

We encrypt data in transit (HTTPS), limit access to those who need it, and keep our data service and database keys on our servers only. No system is perfectly secure. If a breach affects your data, we'll notify you as the law requires.

11. Children

The Service is for businesses and professionals and is not intended for anyone under 18. We don't knowingly collect information from minors and will delete it if we find any.

12. Changes to this policy

We may update this policy and will change the date at the top when we do. We'll tell you about significant changes on the site or by email before they take effect.
